Managing your returns

The majority of Newspapers and Magazines are bought on a Sale or Return (SOR) basis and should be returned in line with the following Recall procedures.

What is a Recall Note?

  • A double sided Recall Note is provided Where Magazines are listed on one side, and News are listed on the other side.
  • All SOR titles are recalled when the issue is due off sale and the next issue is due on sale. These are listed on the Recall Note.
  • You will receive this every day from your Branch, listing the quantity returnable and retail price of each recalled title.
  • Firm sale, MEL customers will also receive a Recall Note for the named titles to be returned. This will allow actual sales history for each title to be recorded and supplies can therefore be targeted in line with sales potential.

What do I do when I receive the Recall Note?

  • Remove any unsold copies of the old issue from the display, checking there are no additional copies in the stockroom.
  • Count the number of remaining copies of each title which appear on the Recall Note and list quantities as necessary.
  • If you receive the new issue of a title and the old issue is not on the Recall Note, complete the blank lines on your Recall Note with the title name, issue, retail price and quantity being returned – then send the copies back to your branch.
  • If a title has been recalled but you have not received the new issue, return the unsold copies of the old issue as requested.
  • The blank lines can also be used to note titles (for your record)returned which do not appear on your Recall Note for whatever reason e.g. appeared on a previous Recall Note, but missed for return.
  • If you are a Multiple with a specific range of titles and you receive a title which is not approved, again use the blank lines to record the details and return these titles to your local branch.
  • Remember to retain the copy of your Recall Note when completed to check against your weekly invoice. There is no need to return a copy to your local branch.
  • If you do not return titles promptly, we may be unable to give credit which will incur waste for your store. However, if in doubt always send your old issues back. If we can pass credit we will do so.
  • Vouchers used by publishers to promote their titles will also be recalled and credit passed on the next available invoice.
  • Quantities on the Recall Note may not reflect the Supplied quantity if extras have been supplied or Supplies have been cut at last moment.

How should the unsold product be packaged?

  • Tie all returns into secure parcels. Magazines can be packed in boxes but tie securely to ensure titles do not fall out and the parcel is not too heavy to lift (17kg).
  • All Newspaper and Magazine returns must be in separate parcels, with each parcel clearly marked with your Customer Reference Label

How should I label Returns?

  • Recycle the Parcel Specific Contents Notes once you have checked them against the Delivery Note.
  • Also attach your Customer Reference Label.
  • Both Labels state your Customer Reference Number and identify which outlet the parcel has come from using a unique barcode. It is sometimes also referred to as a Barcode Label.
  • It is imperative that a PSCN or Barcode Label is attached to each parcel you are returning. Failure to do this could mean credit will not be passed as the item cannot be identified as belonging to your outlet.
  • State how many parcels of returns there are on your Customer Reference Label (i.e. parcel 1 of 4 parcels).
